A step-by-step guide to moving your data — products, customers, suppliers, sales orders, purchase orders, batches and stock levels — from Unleashed to StockedSoft. Most UK SMEs complete this in an afternoon.
Unleashed exports its core data as CSV files. StockedSoft imports the same data structures, with mapping for field-name differences. Here's what transfers cleanly:

Create your free Starter account. No credit card, no commitment. You can run both Unleashed and StockedSoft side by side during migration — there's no rush to switch off Unleashed.
Inside Unleashed, go to Import/Export Products, Customers, Suppliers, Sales Orders and Purchase Orders. Each section has a CSV export option. You'll end up with around 6 CSV files.
For stock on hand, use Reports → Inventory → Stock On Hand Enquiry and export the result. This gives you per-SKU quantities by warehouse.
Most columns map directly — Product Code → SKU, Description → Name, Average Cost → Cost Price, etc. We've published a free Excel template that does the column reordering for you. On Growth and Enterprise plans, we'll do this step for you.
Two things to watch:
Use the bulk import tool: Settings → Data Import. Import in this order:
Each import shows a preview before commit, with row-level validation. Any errors are flagged so you can fix and retry.
Open a few products in both systems side by side. Check stock levels match, prices match, supplier links are right. Run a stock value report in both — the totals should be within rounding distance.
Run a test sales order end-to-end: create quote → convert to order → pick → despatch. This catches any setup gaps before you go live.
Most businesses run StockedSoft alongside Unleashed for 1-2 weeks before fully switching. Use StockedSoft for new orders while Unleashed completes existing in-flight orders. This eliminates risk and gives your team time to learn the new interface.
Once all in-flight orders are completed and you're confident on StockedSoft, cancel your Unleashed subscription. Unleashed monthly plans cancel with 30 days' notice, annual plans cancel at the end of the term. Get it in writing to your Unleashed account manager.
Keep a CSV export of your historical Unleashed data archived somewhere safe (your own cloud drive) for at least 6 years for HMRC compliance.
