Sound familiar?

The day-to-day frustrations we hear from food & drink manufacturing businesses — and what changes when you switch to the right tool.

Spreadsheets that can't handle batches
Tracking lot numbers, manufacturing dates and expiry across multiple ingredients per recipe quickly becomes unmanageable in Excel. A single product recall could mean hours digging through paper records.
Cost creep on ingredients
When the price of olive oil, sugar or packaging quietly rises 12%, your margins disappear without anyone noticing — because your recipe cost was set six months ago and hasn't been recalculated since.
Compliance paperwork eating evenings
Trading Standards inspections, BRC audits, customer due-diligence questionnaires — they all want batch traceability, allergen declarations and production records. Pulling this together manually takes a full day each month.
Stuck with enterprise pricing
The serious food manufacturing platforms cost £4,000-£20,000/year before you've receipted a single ingredient delivery. That's a non-starter for a £500k-£3m turnover food business.

What you get with StockedSoft

Features built specifically for food & drink manufacturing operations — included in every plan from Growth upwards.

🧪
Batch & expiry tracking
Every receipted batch gets a unique number and expiry date. Track every batch from goods-in through production to despatch — full forward and backward traceability for FSA compliance and recalls.
📝
Multi-level recipes (BOMs)
Build recipes with ingredients, sub-recipes, and packaging. When ingredient prices change, your finished product cost recalculates automatically. Know your true margin per SKU.
🏭
Production work orders
Schedule production runs, auto-allocate ingredients, record waste, and capture finished batches. Stock levels update automatically — raw materials down, finished goods up.
🥬
FEFO picking
When picking sales orders, the oldest batches go first by expiry date. No more shipping nearly-expired stock to customers and getting it returned.
🏷️
Allergen & nutrition data
Store allergen, nutrition, and ingredient declarations against each product. Pull a customer-ready PDF spec sheet in seconds for trade questionnaires and labelling.
📊
Margin reporting
See live margin per product, per customer and per channel. Identify which SKUs are quietly losing you money and which deserve more shelf space.

How a typical food & drink manufacturing business runs on StockedSoft

A normal week, end to end.

MONDAY
Receipt the week's ingredient deliveries
Scan goods in against the open purchase orders. Each batch gets a lot number and expiry date. Stock available immediately in the right warehouse and bin location.
TUESDAY
Run scheduled production batches
Open the work order for "Tomato Pasta Sauce - Batch 247". Confirm yield (140 jars instead of planned 150). Ingredients auto-deplete, finished stock auto-increases, batch records auto-create.
WEDNESDAY
Pick and despatch wholesale orders
Pick lists generated from confirmed sales orders. FEFO logic suggests the oldest batches first. Sign off, print labels, hand to DPD or your own van. Customer gets an emailed invoice; stock goes down.
THURSDAY
Quote a new wholesale prospect
Coffee chain asks for a quote on 200 cases/month. Open a quote, add lines from the catalogue, send the branded PDF. Auto-creates a prospect record for follow-up.
FRIDAY
Reorder ingredients & review margins
Run the reorder report. See which ingredients dropped below their reorder point — generate purchase orders in two clicks. Check the margin dashboard to spot which products are quietly losing money.

I was tracking 47 SKUs, 6 production batches a week, and 12 wholesale accounts in three different spreadsheets. Stock counts took half a Sunday every month and we still had errors. StockedSoft replaced all of it in a week — and now I can actually take a Sunday off.

Common questions from food & drink manufacturing businesses

Will StockedSoft pass an FSA audit or BRC inspection?
StockedSoft gives you the batch traceability records FSA and BRC inspections require — lot numbers, manufacturing dates, expiry dates, full forward and backward traceability through your supply chain. The software helps you meet record-keeping requirements; the wider compliance process (HACCP, audit prep) sits with you or your food consultant.
Can I track allergen information?
Yes. Each product has fields for allergens (the 14 declarable UK allergens), allergen statements, and ingredient declarations. You can output a PDF spec sheet per SKU for customers and trading partners.
How does production work in practice?
You set up recipes (BOMs) once — for example, "Strawberry Jam: 4kg strawberries, 3kg sugar, 200ml lemon juice, 12 jars, 12 lids". When you create a work order, ingredients are reserved. When you confirm completion, ingredients deplete and finished stock increases — with the new batch ready to despatch.
What about co-packers and contract manufacturing?
You can flag products as "co-packed", record the batches you receive from the co-packer with their batch number, and merge that into your normal traceability flow. We don't currently send work orders to external co-packer systems — that's on the roadmap.
Does it integrate with Shopify for D2C?
Yes — Shopify two-way sync is included on the Enterprise plan. Orders from your Shopify store flow in automatically, stock pushes back to keep your Shopify listings accurate. Most D2C food brands run Shopify + StockedSoft Enterprise.
How fast can I get set up?
Most food businesses are running on StockedSoft in an afternoon. Import your products from a CSV (or your existing system), set up your warehouses, enter opening stock balances. You can be despatching orders the same day.
