Sound familiar?

The day-to-day frustrations we hear from breweries & drinks producers businesses — and what changes when you switch to the right tool.

Casks and kegs that just... vanish
You've sent 240 firkins out to 30 pubs this quarter. How many should be coming back? Which pubs are sitting on five empties? Without a returnable-container tracking system, you're losing £30 per cask every time one disappears.
Production planning across multiple brews
You have three tanks fermenting, one conditioning, one being kegged today, and a special-edition collab coming up next week. Tracking what malt and hops you actually have available — and what you need to order — is impossible on a whiteboard once you scale past 20 hL batches.
Duty paperwork and HMRC stress
Beer Duty returns, Small Producer Relief calculations, retailer-specific ABV tolerances, and import duty on shipping. The data's scattered across brewery diaries, kegging logs and accounts software — pulling it together every month is a half-day of pain.
Margin you can't see
Did that special-edition double IPA actually make money once you account for the imported hops, longer fermentation, and small-batch packaging? Most breweries genuinely don't know — the answer is locked in a spreadsheet nobody updated.

How a typical breweries & drinks producers business runs on StockedSoft

A normal week, end to end.

MONDAY
Receipt the malt and hops delivery
Scan in 750kg of Maris Otter from your maltster, 6kg of Mosaic hops from a UK supplier. Each batch gets a lot number. Now linked to whatever brews use it later.
TUESDAY
Brew day — Pale Ale Batch #182
Create work order from the Pale Ale recipe. Specify 12 hL batch. System reserves the right malt and hops. Record OG at end of brew day. Batch is now in tank, status "fermenting".
WEDNESDAY
Pick and despatch kegs to The Black Horse
Sales order for 8 × 30L kegs of Session IPA. Pick from the conditioning room, scan keg numbers (each keg tracked individually). Despatch note prints. Kegs now flagged as "out — Black Horse".
THURSDAY
Package Pale Ale into casks
Finish work order from Tuesday. Record final ABV, FG, yield (35 firkins from a 12 hL batch). Each cask gets a number, best-before date. Stock now available to sell.
FRIDAY
Reconcile cask returns and order more malt
Drayman returns 28 empties from various pubs — each reconciled against who had what. Reorder report flags low malt; PO sent in two clicks. Margin dashboard checked over a pint.

Craft brewery, 800 hL/year · Yorkshire · £420k turnover
We lost 18 casks in 2024. At £55 each, that's a thousand pounds I won't see again because nobody knew which pubs had them. With StockedSoft I can see every empty cask out at every customer in real time — and chase them back before they vanish.

Common questions from breweries & drinks producers businesses

Can StockedSoft handle Beer Duty returns?
StockedSoft tracks the data you need for duty calculations — batch volumes, ABV, duty-paid versus duty-suspended movements. You can export this data to give to your accountant, or it integrates with Xero where your duty journals are then prepared. We don't submit returns to HMRC directly — that workflow stays with your accountant.
How does cask tracking actually work?
Each container (cask, keg, growler) has a unique number stored against it. When you despatch a sales order, you scan or enter the keg numbers shipped. When the drayman brings empties back, you reconcile them. You get real-time visibility of which pubs are holding kegs, for how long, and which are overdue — plus deposit accounting flows through automatically.
What about wholesale customer pricing?
Customer-specific price lists are included. Set different prices per pub, per supermarket, per export wholesaler — including duty-paid versus ex-duty pricing. Pick lists show the right price for each customer automatically.
I have a tap room and a wholesale operation. Can StockedSoft handle both?
Yes — you can run multiple "channels" with separate stock movements. Tap room sales deplete stock from the cellar; wholesale sales deplete from the conditioning warehouse. Margin reports break down by channel so you can see whether tap room or wholesale is actually paying the bills.
Does it integrate with my Shopify shop for online sales?
Yes — Shopify two-way sync is on the Enterprise plan. Orders from your online shop flow in automatically, stock pushes back so you don't oversell. Important for special-edition releases where every minute of accurate stock matters.
Will it work for a 500hL/year brewery?
Absolutely — StockedSoft is designed for businesses from £100k to £20m turnover, which covers most UK craft breweries. If you're doing 50,000 hL+ and need full plant management with sensor integration, you'll likely need something heavier-weight (we'd recommend talking to Premier Systems or Ollie). For everyone else, we're a better fit than the enterprise platforms.
